Registering and archiving drawings

Introduction Accessing CDD Numbering Drawing Archiving Checking

This is a tutorial explaining how to register and archive drawings in CDD.
Many steps are the same if the drawings are made at CERN or outside the site.

Introduction
You are at CERN
Therefore you must follow the CERN standards. see below table for more info

AutoCAD

Your drawing should be supplied in native format (see below).

You are not at CERN
If you are working with AutoCAD, you have the possibility to produce drawings according to one of the CERN standards above.
To do that, you need to install the CERN Title Block application for your CAD system. Contact the Service Desk for AutoCAD.

If you are using another CAD system or if you do not wish to use the CERN Title Block application, your drawing can be stored in the CERN Drawing Directory in HPGL format.
In that case the drawings are prepared according to your own standards. When stored in CDD an identification stamp with the CDD number will be added to the drawing. The procedure to follow is described in this note.

Step 0 : Have access to CDD
Users who have to register drawings in CDD must have an account.
If you don't have one, please send an e-mail to the support team indicating :
- name, first name
- organisation or laboratory
- e-mail address
Also indicate the subject codes you will have to work on (eg LHCMBPAA) in order to obtain the correct access rights.

Note: by default, every drawing information is readable by anyone, so you don't need specific rights in order to consult the database.

Step 1 : Get a CERN official drawing number
  1. Connect to CDD using your login / password.
  2. In the home page, click on New Drawing.
  3. Enter the subject code of your drawing.
You can find a list of codes you can use by clicking on List of Subjects.
  4. Fill the form.
  5. Click on the Register button, at the bottom of the page.
  6. A check before insert page is displayed before the actual registration.
  7. Click on the Register button, at the bottom of the page.
  8. You obtain a CERN official drawing number.
Step 2 : Put the official number on the drawing
Make your drawing (if it is not already done !) as usual using your CAD software.

Your drawing should have a title block, following the CERN standards or your design office ones.

Put the drawing number in this title block.

Step 3 : Prepare the drawing for archiving
  1. Upload the drawing into the system :
  2. Make sure that the quality signatures are done by the concerned responsible people (check with the project engineer).
These electronic signatures are done using CDD Web, clicking on the Quality Control link in the CDD home page.
  3. Once the last signature is made, an automatic batch program starts (every day in the evening) and archives the drawing(s).
  4. After the archiving process is terminated (successfully or not), designers and controllers receive an automatic mail indicating the archiving state of the drawing(s).
Step 4 : Check the result of the archiving process
If your drawing is ok, it is archived and therefore can be visualized using CDD Web.

Check its archiving state by performing a drawing retrieval using its official number. This state is displayed in the drawing information page (you also may have received a mail indicating it).
If it is not ok, an archiving error has been raised. The source of the error can also be found in the drawing information page (more information on archiving errors).
If it is correct, please have a look at the graphical result ("visualize drawing") in order to be sure that everything is ok.

Support
If you face any problem or have any question, please do not hesitate to contact the CDD Support Team.
